AI for work productivity
Define a useful task
AI can help draft, summarise, organise and compare information. Start with a task you can review, rather than handing over an unclear business decision.
- State the task, audience and desired format.
- Provide relevant context and clear constraints.
- Use fictional or approved information when testing.
Review before use
An AI response can sound convincing and still be wrong. Treat it as a draft that needs checking against reliable evidence and the actual task.
- Check figures, citations and factual statements.
- Look for missing context, bias and unsupported assumptions.
- Keep an accountable person in charge of consequential decisions.
Use approved workflows
A productive workflow has a defined input, a draft, a review step and an approved output. Workplace policy determines which tools and data are permitted.
- Do not paste confidential records into an unapproved tool.
- Check tool permissions, sharing and retention settings.
- Measure time saved alongside quality and correction effort.
Digital security essentials
Recognise social engineering
Attackers may imitate colleagues, suppliers or familiar brands to rush someone into sharing data, transferring money or opening a harmful link.
- Pause when a message creates unusual urgency or secrecy.
- Verify unexpected requests using an independently known contact route.
- Do not treat a familiar display name or HTTPS as proof of legitimacy.
Protect accounts and devices
Use unique passwords, an approved password manager and multifactor authentication where available. Keep software updated through trusted mechanisms.
- Never share passwords or one-time codes with an unsolicited caller.
- Apply approved updates and lock unattended devices.
- Use the least access required for your role.
Respond and report
If you suspect compromise, follow your organisation’s incident procedure and report promptly. Preserve relevant messages and records without spreading sensitive information.
- Use an approved security or support contact.
- Do not retaliate, investigate intrusively or publish accusations.
- Record what happened, when it happened and the actions already taken.
Digital payments basics
Understand the payment flow
A digital payment moves through a provider’s process before the business records the outcome. A payment request or customer screenshot is not the same as verified receipt.
- Check payment status in an authorised provider or banking system.
- Understand fees, refunds and settlement timing.
- Use reputable, approved payment routes and protect account access.
Reconcile transactions
Reconciliation compares orders or invoices with verified payment records and the amounts settled. It helps identify missing, duplicate or mismatched entries.
- Match the reference, amount, currency and status.
- Account for fees and refunds when comparing settlement totals.
- Keep records of exceptions and follow-up actions.
Check changes and disputes
Payment fraud can involve impersonation, changed account details or false proof of payment. Confirm sensitive changes independently and follow the approved dispute process.
- Do not release goods solely because a screenshot looks genuine.
- Confirm new bank details through an established contact route.
- Keep a clear audit trail and escalate discrepancies.
Data privacy at work
Know the purpose
Personal information should be handled for a defined, legitimate purpose under applicable rules and organisational policy. Collecting more data than needed increases exposure.
- Identify why information is needed before collecting it.
- Limit collection to what the task requires.
- Check the organisation’s lawful-basis and consent requirements rather than assuming consent is always the only basis.
Control access and sharing
Restrict access to people who need the information for their role. Check recipients, sharing permissions and the sensitivity of a file before sending it.
- Use approved storage and transfer channels.
- Review public-link settings and recipient addresses.
- Avoid placing personal or confidential records into unapproved AI tools.
Keep and dispose responsibly
Retention should follow a defined policy and applicable obligations. Keeping every record forever is not a safe default. Report suspected exposure through the approved route.
- Follow retention schedules and legal preservation requirements.
- Use approved secure disposal procedures.
- Document and report suspected data exposure promptly.
VAT, invoices & procurement
Clear estimates. Proper procurement information.
Corporate Training estimates separate the training subtotal from VAT so organisations can review the commercial basis before confirmation. Your organisation may provide its VAT number and purchase-order or procurement reference with the request.
Where Blueway is configured as VAT-registered, the applicable VAT percentage is calculated separately and shown on the estimate. Where VAT status is not yet confirmed, figures remain expressly before VAT until the final tax treatment is confirmed.
If your organisation is VAT-registered, enter its VAT number in the procurement section. This identifies your organisation for billing records; it does not itself change the tax rate charged by the supplier.
Billing email, billing address and purchase-order/procurement reference can travel with the training request so the final invoice can be prepared against the confirmed scope.
The submitted estimate is planning information, not proof of payment or a tax invoice. Dates, venue, scope, VAT treatment and the final payable amount are confirmed before payment.
